Are you an organised, people-focused administrator looking to make a real difference? We're seeking a proactive Administration Assistant to be the go-to person for our Centre Manager — keeping our team running smoothly while helping create a warm, resident-centered community.

No two days will look the same. You'll manage the Care Manager's calendar, coordinate meetings and record minutes, prepare polished reports and correspondence, and keep our records and databases accurate and up to date. You'll also lend a hand with HR processes, end-of-month coordination and performance appraisal preparation — and step in to support the Resource Coordinator and/or Reception when the team needs you.

You'll be a friendly, trusted point of contact for colleagues, residents and their families, always respecting each resident's dignity, privacy and freedom of choice. Job Description

Key Responsibilities:

 

  • Provide clerical support to the Centre Manager including filing, writing letters and preparing reports.
  • Formatting documents to organisational standards.
  • Assist the coordination of the Human Resources Management processes as requested.
  • Maintain employee details in the employee register/database on employment.
  • Formatting and distribution of meeting agendas.
  • Record minutes of all meetings.
  • Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing, including bulk mail outs.
  • Accurate inputting of data to organisational databases as directed by manager.
  • Maintain hard copy and electronic filing system within designated work area.
  • Coordinate CM’s calendar including making appointments.
  • Ensure effective communication with residents, relatives, supervisors and colleagues. Respecting the rights of the residents, their dignity and the individuals’ privacy and freedom of choice.
  • Coordinate end of month documentation.
  • Assist manager in preparation for performance appraisal.
  • Accurate recording of information using relevant digital programs
  • Work undertaken is in accordance with the organisation’s Vision, Mission and values.
  • Ensure economic and safe uses of resources and equipment.
  • Provide relief Receptionist and Resource Coordinator duties as required.
  • Other reasonable duties as directed by the Centre Manager.
